Hello!  Here at Vanderbilt, the Project Safe Center has decided to:

  • Continue meeting with students who remain on campus and had scheduled or desire an in-person appointment for the remainder of this week;
  • Shift to phone or video advocacy appointments for any student who prefers a virtual meeting or has already left campus;
  • Continue to offer our 24-hour crisis/support hotline staffed by Project Safe victim advocates;
  • Continue to accept reports anonymously and confidentially via the University’s online reporting form and/or through the Project Safe 24-hour hotline
  • Permit all Project Safe staff to work remotely until March 30, with possible extension
  • Vanderbilt currently utilizes Skype for Business and has pushed out Zoom meeting to all University computers as of today
Observe Sexual Assault Awareness Month via social media and possible virtual programming; all in-person programs and events have been cancelled;Director and one victim advocate have volunteered remain available to accompany students to the emergency room or Student Health Center for the forensic exam and/or other medical care, as needed

Our Title IX, Center for Student Wellbeing, University Counseling Center, and Office of Student Care Coordination are also continuing services.  Title IX will be continuing investigations via phone and Skype and email, as possible.  Vanderbilt’s response information may be found at https://www.vanderbilt.edu/coronavirus/.  We are not, at this time, requiring students to leave campus, although we are encouraging it, for students who are financially and physically able.  We are delivering meals and supplies to students who are self-isolating on campus.

We sent the following email to all students this morning:

Dear Vanderbilt Students,

In light of the recent message from Interim Chancellor and Provost Susan Wente about the suspension of in person classes, I am writing to share information on campus resources for those students who are remaining on campus between March 10 – 30, 2020.

Per the Interim Chancellor’s message, all university-sponsored, non-Athletics events and gatherings are suspended through April 30th (including events sponsored by registered student organizations). Students are asked to avoid informal student gatherings on or off campus; the actions that each of us take to minimize the spread of illness are critical during the next few weeks.

Student Centers

Beginning Tuesday, March 10, the Student Centers buildings will modify their hours of access as follows:

·         Sarratt Student Center/Rand Hall: 7am to 8pm commodore card access for all Vanderbilt community members.

·         The Commons Center: 7am to midnight commodore card access for all Vanderbilt community members. The fitness center will be closed.

·         Alumni Hall: 7am to 5pm commodore card access for all Vanderbilt community members. The fitness center will be closed.

·         Student Life Center: 7am to 5pm commodore card access for all Vanderbilt community members.

Recreation and Wellness Center

Building hours may be limited. Please check the Recreation and Wellness Center website for the most up to date information.

Vandy Vans

Currently, services continue as normal. Drivers will use disinfectant wipes and spray at the beginning and end of shifts and throughout the night as necessary. VUPS will monitor ridership daily and make adjustments as needed.

University Libraries

The university libraries remain open. Please visit the library website for updates to hours as they are made.

Campus Dining

Campus Dining is committed to the safety of our students. As such, they have implemented a number of operational changes to our locations to help mitigate the risk to students. These include:

·         Implementing touchless item scanning at munchie marts

·         Deploying contactless readers at dining hall registers so students don’t have to hand their Commodore Card to another person

·         Eliminating reusable serving ware (plates, cups, utensils) at our dining halls, and removing self-service options from all dining locations (to reduce opportunity for cross-contamination).

·         Encouraging ‘grab and go’ in our dining halls, helping to eliminate large groups of guests from gathering in one location

·         Enhanced cleaning in all locations, enforcing frequent glove changes, enforcing enhanced handwashing protocols

·         Lifting restrictions on munchie mart swipes. To support social distancing, you can now use market swipes up to 3 times per day (max 1 per hour), in lieu of dining hall swipes.

Due to enhanced safety precautions, you may experience modified service options. Campus Dining appreciates your patience and understanding, and will work to ensure all students have access to nourishing meals. For up-to-the-minute changes in Campus Dining service offerings, please follow Dining on Instagram – @VandyCampusDining or visit the Campus Dining website.

Student Support Services

·         The Student Health Center remains open with regular hours (Monday-Friday, 8am-4:30pm) and accepting appointments. Students can call 615-322-2427 to schedule an appointment.

·         The Office of Student Care Coordination will remain open and accepting appointments with students both in person and virtually (telephone/email). You can reach out to schedule an appointment (615-343-9355) or complete the online intake form and schedule online.

·         The University Counseling Center will remain open and is working with current students to keep already scheduled appointments. Group therapy sessions will not be held until further notice.

o    If you have an urgent need or need to speak with a counselor immediately, please use the Crisis Care drop-in hours Monday-Friday 10 am to 4 pm in person or by phone (615-322-2571). For after-hours urgent needs, call the UCC at 615-322-2571 to speak with an on-call clinician.

o    Let’s Talk will be cancelled until further notice; students should utilize Crisis Care instead.

·         The Center for Student Wellbeing will remain open and continue coaching sessions with students by phone. Weekly Wellbeing Practices and CSW workshops will be cancelled until further notice.

·         The Project Safe Center will remain open and continue scheduling appointments with students. While we are able to continue to meet with students in person for advocacy services at this time, we will likely move to telephone, video, and/or email communication when possible.

o    The 24-hour crisis support hotline remains available at 615-322-SAFE (7233) and appointments may be scheduled during business hours (Monday through Friday 8 am to 5 pm) via our office phone line 615-875-0660.

We will continue to communicate any updates. Thank you for helping us to maintain the health and wellness of all members of our community.

Best,

Mark Bandas
Associate Provost and Dean of Students

Hope this helps!

Kind regards,

Cara

Thank you for posing this question, Chimi.  I'm also super interested in learning about how folks might be offering services.  I am a social worker, and still new to the idea of how I might ethically offer support via an online pathway, such as a video chat.

Hello colleagues. Connected to what has already been posted, I am trying to gain insight from your collective wisdom around whether or not your campus has created any formal procedures that may be put in place for survivors in the case that your campus closes temporarily due to a COVID-19 outbreak e.g. support services, how to report officially or disclose confidentially, medical or legal assistance, etc. Has anyone been aware of discussions on their campus regarding this? If so, what takeaways can you share with other campuses to consider? Thank you so much!

Hi all,

A colleague shared that they had a large campus visit program this last weekend, and they gave instruction about not shaking hands and general hygiene requests.  They also shared that we might be exploring ways to offer video welcomes that can be watched in smaller groupings, so large groups don't need to convene.

Last night on Facebook a Residence Life office (from what university I don’t recall) posted a google doc of thoughts/suggestions that people could add to.

Perhaps that would be a helpful thing to do. (admittedly, there are probably many of you with created google cloud doc skills that are greater than mine).

For sure, adding hand sanitizer and Lysol to event kits is a great idea.

I just want put it in writing, to affirm (and because its where I currently am, but also in a stage of life where I’m confident to express it)…planning is a way to feel like you have control in a time where it doesn’t feel like you have control.

Hi all,

Our institution is in Idaho, where there are no confirmed cases.  We've been encouraged to refrain from making public statements about the virus and letting all communications come from the President's office so they are informed, unified and not causing panic (I'm on board with this and it doesn't feel stifling, happy to share her message if that's helpful).  Our institution is practicing a day of all classes going online on Friday, but there have not yet been any directives about programs are offered.  I think we will move forward with our small scale programs with a sense of hopefulness and normalcy, and encourage folks to wash hands (our next event is a craft and game night with snacks), continue to regularly sanitize tables and shared spaces/items, and ask folks to be thoughtful about attending a later event if they are not feeling well.   I'll share out if anything changes. :)

Hi all,

This is very much on my mind. At this point this is how I’m dealing. I have an event planned with dining services that we will move to September (and I might reprise then anyway as I think it will be an easy to repeat kind of thing). I am starting to let myself have some headspace towards what a social media effort might look like. I have given consideration to making more of my trainings available online and this will free up the time to make that shift.

I think we, as a group, should consider how we might work together in resource development. I’ve been asked to consider what a plan to work from home might look like and maybe this is a once in a not often opportunity to collaborate and share best practices.

I still don’t know what is going to happen on my campus and at this point it would just be nice to not have three possible outcomes for everything (life as planned, no students on campus and quarantined at home)

Hi Everyone,

Like all campuses, there are committees or threat assessment teams discussing the institution’s response to various things including Faculty teaching remotely, housing, dining, etc. Have you heard any conversations as it relates to programming efforts? Sexual Assault Awareness Month (SAAM) is next month and I am wondering how you are planning. I think we have over 10 programs for that month and I am thinking about how I could adjust to fit the climate and/or our campuses needs…

I am currently at a conference but plan to touch base with my supervisor and the COVID-19 Threat Assessment team upon my return. However, I would love to get your input.

Sincerely,

Marissa
